How To Chunk Your Tasks For A Business Retreat

Did you know that your body has a “basic rest-activity cycle?” Each cycle is 90 minutes in length where we move progressively through the five stages of sleep.

Our body also continues that rhythm throughout the day.  Alertness levels are in constant movement from higher to lower levels, which is why you have a more productive time of day.  (This is known as the Ultradian Rhythm.)  The advantage comes from knowing when that productive time is for you and exploiting it.  Another alternative is to create productive time.

Work in 90-Minute Intervals

To stay in your optimal levels of focus, you should work in 90-minute intervals.  This means that you need to break down larger tasks into smaller ones that can fit within the interval.  I call it “chunking down.

Chunking Down

To chunk down a big project, you break things down into smaller, manageable tasks that can be accomplished in shorter periods of time.  It would be something like this:

Project:  Create A Magnetic Marketing Plan

Tasks:

  • Create an outline
  • Complete one section at a time
  • Research as needed
  • Create action steps
  • Calendar the action steps

In this example I took one project and broke it down into five manageable parts.  It is possible to break each step down into even smaller steps if needed.  By chunking down, achievements are made quicker which builds momentum to complete tasks faster.  It also makes it easier to plug tasks into a 90-minute work cycle.

Hot Tip:  Complete the more challenging and difficult tasks first.  It makes doing everything else go quickly.
